What is a Certified True Copy?

Certified true copies are a set of documents which have been verified and certified by a qualified professional as a true original document. The purpose of these documents is to allow a third-party to verify the copies of an official document, in order to confirm that there were no amendments or alterations made.

Certifying documents is required for many reasons as it is used for any sale or purchase or sale of properties, immigration, marriage, divorce and adoption, during court proceedings and when businesses are applying for permits or licenses or expanding and establishing new entities.

Information Commonly Required to Verify Identity

Our lawyers and notary publics are legally authorized by the Canadian government to administer oaths, witness the signing of documents, and deter fraud by verifying the identity of a person who signs a document. During the identity verification process, the information common required is as follow:

For Individuals:

  1. full name
  2. business address and business telephone number (if applicable)
  3. home address and home telephone number
  4. occupation(s)
  5. Passport copy

For Businesses or Organizations

  2. business address and business telephone number
  3. incorporation number or business ID number and the place of issue of its incorporation or business ID number
  4. general description of the type of business or activity undertaken
  5. name, position and contact information of individual(s) authorized to give instructions with respect to the matter for which lawyer is retained
  6. Copy of Certificate of Incorporation or Business License

Accepted forms of identification for having notarial services performed include the following:

Every signer must show valid (not expired) photo identification. All identification must contain a photo, a physical description, a signature and a serial number. Most Canadian Government bureaus and banks recognize the following types of identification if issued within the last 5 years:

Canadian, Chinese or any valid Passport

Birth Certificates (if containing a Photo)

Chinese Identity Card

Drivers License (if containing a photo)

Checking and verifying the signer’s identify is critical step in performing a notarial service. Some people may view it as a nuisance, but it’s performed to safeguard against fraud. So the next time you need a document notarized, remember to bring one of the accepted forms of identification mentioned above.
